Create work from evidence

Audit findings, search opportunities, ranking changes, backlink events, AI visibility gaps, analytics signals, and monitoring alerts can all become work items. The source link remains attached so the assignee can return to the measured context.

Define what done means

Add an owner, due date, priority, and acceptance criteria that can be checked. A useful criterion names the expected response, tag, link, page state, or metric instead of saying only that the problem should be fixed.

Use status honestly

Every status answers one question: what is actually true right now. Nothing has begun on Open. Someone is holding the item today on In progress. Ready to verify says the change shipped but no measurement has confirmed it yet. Verified waits for later evidence to pass, not for a developer to call it done. Ignored always carries a stated reason, so a deliberate exception never reads as forgotten work.

Preserve the history

Status changes keep the actor and time. Approvals, notes, and external ticket references build a durable record for handoffs and client reporting.
